1. Scope of Services
SCLuxeTravel (“we,” “our,” or “the Agency”) provides personalized travel planning services including, but not limited to, itinerary design, booking of accommodations, transportation, activities, and concierge support.
We operate as an independent contractor affiliated with TL365, and all travel arrangements are made through vetted third-party suppliers, including but not limited to hotels, in-country suppliers, and destination specialists.

2. Client Responsibilities
By engaging our services, you (“the Client”) agree to the following:
Provide accurate and complete information for all travelers, including names exactly as shown on passports, travel preferences, medical or mobility needs, and payment details.
Review all provided documentation (itineraries, invoices, confirmations, etc.) for accuracy and notify us promptly of any discrepancies.
Respond in a timely manner to all communications and provide required information or approvals by stated deadlines.
Adhere to the payment schedule outlined in your personalized itinerary and booking documentation. Timely payment is essential to securing reservations, pricing, and availability. Missed deadlines may result in cancellation of services, loss of deposits, or additional fees imposed by suppliers.
Understand and comply with the terms and conditions of all third-party suppliers involved in your trip (including airlines, hotels, and tour operators).
Failure to meet these responsibilities may impact your travel experience and may result in delays, penalties, or forfeiture of services.

3. Planning Fees and Payment Terms
A professional planning fee may be outlined prior to the start of services. This fee is non-refundable and compensates for time, research, and expertise.
Additional supplier fees (hotels, airlines, tours, etc.) will be collected as per their individual terms.
Final payment deadlines will be communicated in advance and must be met to avoid cancellation or penalties.

4. Cancellations and Changes
Cancellations and change fees are governed by each supplier’s policy, and we will communicate these at the time of booking.
Our agency is not responsible for any penalties or losses resulting from changes or cancellations by the client or suppliers.
Post-booking changes (e.g., date adjustments, passenger substitutions) may incur service fees in addition to supplier fees.

5. Travel Insurance
Travel insurance is a critical component of your travel planning. We strongly recommend that all clients purchase comprehensive travel insurance to protect their travel investment and personal well-being. Suggested coverage should include (but is not limited to) trip cancellation or interruption, travel delay, medical emergencies, evacuation, baggage loss or delay, and supplier default.
SCLuxeTravel is not a licensed insurance agent and cannot evaluate, compare, or guarantee any specific policy or coverage. We may refer you to third-party insurance providers for your convenience, but it is solely your responsibility to research, understand, and purchase a policy that meets your needs.
If you choose to decline travel insurance or fail to obtain adequate coverage, you agree to assume full responsibility for any financial loss, injury, medical expense, disruption, or inconvenience incurred before or during your trip. You further agree to hold SCLuxeTravel harmless for any costs or damages not covered by your travel insurance policy.
We strongly encourage you to review the full terms and exclusions of any insurance policy and to ask your provider any specific coverage questions.
Protecting your investment is essential, and travel insurance can offer peace of mind when the unexpected happens.

6. Liability Disclaimer
We act solely as an intermediary between you and independent travel vendors and suppliers (e.g., airlines, hotels, tour and ground operators). We are not liable for personal injury, illness, property damage, loss, delay, dangerous conditions, cancellations, bankruptcies or inconvenience caused by third-party vendors and suppliers, acts of God, strikes, or other events beyond our control.

7. Assumption of Risk and Disclaimer of Warranties
Travelers/Clients voluntarily assume all risks associated with any travel provided herein. We disclaim all warranties, express or implied, regarding this website and its services.

8. Force Majeure
Liability is disclaimed for failing to perform obligations or for changes or cancellations to travel caused by Force Majeure events. These include, but are not limited to: i) Acts of God, such as natural disasters, severe weather, tornados, hurricanes, etc.; ii) Governmental Actions, such as quarantine, pandemics, travel restrictions, etc.; and iii) other events, such as labor disputes, terrorism, civil unrest, war, transportation issues, airport closures, etc.

The information on this website is for general information purposes only. While accuracy is important to us, there are no guarantees regarding the accuracy and timeliness of any information on this website, including links to and from this website.

10. Passports, Visas, and Health Requirements
It is the client’s responsibility to ensure all travelers meet destination entry requirements, including passport validity, visas, vaccinations, and other health protocols. We are not liable for denied boarding or entry due to insufficient documentation.
11. International Travel Section:
For international travel, it is the client’s responsibility to review all international travel requirements and review government-issued warnings and advisories.
12. Conduct and Expectations
We reserve the right to refuse service to any client who behaves inappropriately, is disrespectful, or attempts to circumvent agreed terms. Our relationship is built on trust, communication, and mutual respect.

13. Dispute Resolution
Any disputes arising from our services shall be governed by the laws of the State of Illinois and resolved through mediation or arbitration where possible before any legal proceedings are pursued.

By proceeding with our services and/or submitting a planning fee, you confirm that you have read, understood, and agree to these Terms and Conditions.
